Location: Yangon, Myanmar — with company-wide responsibility

Reports To: People Operations Executive
Employment Type: Full-Time
Salary: MMK 700,000–900,000 per month
Working Hours: Monday–Friday, 8:30 AM–5:00 PM, with reasonable flexibility for operational requirements
▪️Elevate Education is looking for a proactive and highly organized Administration & Facilities Executive to take ownership of company-wide administrative operations, facilities, procurement, vendors, company assets, vehicles, inventory, travel logistics and workplace support.
▪️This is not a basic clerical administration position. The successful candidate should be able to identify operational issues before they become problems, coordinate multiple stakeholders and vendors, maintain reliable systems and follow tasks through to completion.
▪️Based in Yangon, the position will support Yangon, Mandalay and future company locations and may travel when operationally required.

📌Key Responsibilities
Facilities & Workplace Operations
▪️Ensure offices and facilities remain clean, functional, safe and operationally ready.
▪️Monitor air-conditioning, electrical systems, lighting, plumbing, internet coordination, furniture, meeting rooms, reception, pantry, toilets, signage, CCTV, access systems and general office condition.
▪️Maintain preventive-maintenance schedules and inspection checklists.
▪️Identify problems proactively and coordinate repairs with vendors, technicians, landlords and building management.
▪️Follow maintenance issues through until properly resolved.
▪️Coordinate periodic facilities inspections for branches.

📌Procurement, Vendors & Cost Control
▪️Coordinate procurement from requirement through quotation, comparison, approval, purchase, delivery verification and documentation.
▪️Source suitable vendors and compare price, quality, reliability, warranty and delivery time.
▪️Negotiate prices and terms where appropriate.
▪️Process routine purchases within delegated company approval limits and obtain approval for major/non-routine expenditure.
▪️Build and maintain a reliable vendor database and monitor vendor performance.
▪️Recommend replacing or renegotiating with vendors where service, quality or pricing is unsatisfactory.
▪️Identify unnecessary or inefficient administrative expenses and recommend cost-saving opportunities without reducing required operational quality.

📌Company Assets & Equipment
▪️Maintain an accurate company-wide physical asset register covering laptops, monitors, phones, cameras, office equipment, furniture, appliances, event equipment and other company assets.
▪️Coordinate asset tagging, assignment, movement, condition monitoring, repair, warranty, return and physical verification.
▪️Prepare equipment for new employees and recover company property during offboarding.
▪️Document missing, damaged or lost assets and coordinate appropriate follow-up.
▪️Conduct periodic physical inventory checks.

📌Vehicles & Drivers
▪️Coordinate company vehicle bookings, schedules and daily driver assignments.
▪️Monitor fuel, mileage, servicing, maintenance, repairs, insurance, registration and vehicle documentation.
▪️Ensure vehicles remain clean, safe and operationally ready.
▪️Coordinate transportation for school visits, events, airport transfers and other business activities.
▪️Maintain accident/incident documentation and coordinate repairs or insurance claims.
▪️Monitor unauthorized or inappropriate vehicle usage.
▪️Provide day-to-day operational supervision to company drivers.

📌Inventory & Consumables
▪️Maintain inventory systems for stationery, printer supplies, pantry and cleaning supplies, brochures, merchandise, gifts, event materials and other operational consumables.
▪️Establish minimum stock levels and replenish essential items before shortages occur.
▪️Conduct stock checks and monitor unusual consumption.
▪️Maintain issuance records for higher-value items where appropriate.

📌Travel & Logistics
▪️Coordinate approved company business travel including flights, hotels, ground transportation, company vehicles and basic itineraries.
▪️Handle booking changes, cancellations and rebooking when necessary.
▪️Support travel arrangements for visiting university representatives and guests when assigned.
▪️Support international travel logistics such as flights, hotels, insurance and documentation/visa coordination where required.

📌Office Projects & Branch Support
▪️Coordinate operational implementation of approved new offices, relocations, renovations and workplace improvement projects.
▪️Coordinate contractors, quotations, furniture, equipment, internet, utilities, CCTV, access systems, signage, deliveries and installation.
▪️Maintain project checklists, deadlines and vendor follow-up.
▪️Help ensure new or renovated offices are operationally ready before opening.
▪️Support Mandalay and future branches and travel when required.

📌Leases, Utilities & Administrative Compliance
▪️Maintain administrative records and calendars for leases, utilities, internet, building fees, cleaning/security services, maintenance contracts, vehicle insurance and other recurring services.
▪️Track expiry, renewal and payment deadlines and provide sufficient advance notice.
▪️Coordinate quotations, supporting documents and external parties for renewals.
▪️Maintain relevant office, building, vehicle, safety and administrative documentation.

📌Security & Basic Workplace Safety
▪️Coordinate keys/access cards, CCTV maintenance, security services, visitor/access procedures, fire extinguishers, first-aid readiness and emergency contacts.
▪️Maintain basic office opening/closing and security procedures.
▪️Document facility, property or vehicle incidents and coordinate appropriate follow-up.
▪️Conduct or coordinate periodic workplace security and safety checks.

📌Event & Operational Support
▪️Support Marketing and Event teams with vehicles, drivers, equipment, material transportation, company banners/standees, temporary manpower, storage, delivery/pickup and physical setup.
▪️Ensure company equipment and assets are properly prepared, returned and checked after activities.
▪️Support other departments with reasonable administrative and logistical requirements when necessary.

📌Administration Budget & Reporting
▪️Prepare and monitor Administration & Facilities operating-cost forecasts.
▪️Track administrative expenditure against approved budgets in coordination with Finance.
▪️Anticipate maintenance, renewals, procurement and other upcoming operational expenses.
▪️Identify unusual cost increases and provide early warning to People Operations/Management.
▪️Prepare regular administrative updates, cost information, trackers and operational reports.
▪️The Executive will have functional authority to enforce approved Administration & Facilities procedures across departments, while Department Leaders remain responsible for managing their employees and People Operations remains responsible for formal employee matters.
▪️Performance will be measured across Facilities Readiness & Preventive Maintenance (25%), Procurement/Vendor/Cost Management (20%), Assets/Inventory/Vehicles (20%), Administrative Operations & Service Delivery (15%), Projects & Branch Support (10%), and Systems/Compliance/Improvement (10%).

📌Job Requirements
▪️Approximately 2–3 years of directly relevant professional experience preferred in Administration, Facilities, Office Management, General Affairs, Operations Administration or similar roles.
▪️Strong candidates with approximately two years of substantial hands-on experience may also be considered.
▪️Bachelor’s degree, Diploma or equivalent qualification preferred. Business Administration, ▪️Management, Operations or related education is advantageous but not mandatory for a strong candidate.
▪️Practical experience handling several areas such as office facilities, procurement, vendors, company assets, vehicles, inventory, office operations or administrative logistics.
▪️Strong organizational, prioritization and follow-up skills.
▪️Able to manage multiple tasks, deadlines, vendors and stakeholders simultaneously.
▪️Proactive problem-solving mindset and ability to identify operational issues before Management needs to raise them.
▪️Good commercial judgment when comparing quotations, vendors, cost and quality.
▪️Comfortable negotiating with vendors and service providers.
▪️Strong attention to detail and ability to maintain accurate records, spreadsheets, trackers and checklists.
▪️Able to enforce company procedures professionally across departments.
▪️Strong ownership, accountability and ability to work independently with limited supervision.
▪️Strong Burmese communication and functional working English.
▪️Comfortable using Google Workspace, spreadsheets and common business technology.
▪️High integrity when handling company assets, purchasing, vendor relationships and confidential information.
▪️Able to coordinate drivers, office helpers, cleaners, security personnel and external service providers.
▪️Willing to travel to Mandalay and other company locations when operationally required.
▪️Flexible for occasional events, urgent facilities/vehicle matters, weekends or public holidays when genuinely necessary.
▪️Candidates whose experience is mainly clerical administration, filing, reception or data entry without meaningful operational ownership may not be suitable.
▪️Shortlisted candidates may be required to complete a practical Administration & Facilities assessment.
